How to split a combined QuickBooks paystub PDF by employee

QuickBooks Payroll is built to print or export a whole pay run's stubs at once — it has no per-employee export option. Here's how to get from that combined PDF to individual files you can send out separately.

Export the pay run from QuickBooks

In Payroll → Employees, open the paycheck list for the pay period, select all employees, and choose Print pay stubs (or View/Print from Desktop). QuickBooks generates one PDF with every stub in sequence.

Drop it into PDF SmartSplit

It loads into your browser's memory only — nothing is uploaded, so there's no compliance question to answer about where payroll data goes.

Download one zip, one PDF per employee

Each employee's pay stub prints "Employee Name" once at the top — match on that and every stub, however many pages it runs, comes out as its own PDF inside one zip.

Why "Employee Name" works well as a match: QuickBooks prints it once near the top of every pay stub and it doesn't repeat anywhere else on the page, so it makes a clean split boundary even when a stub with lots of deduction lines runs onto a second page. If your stub template instead leads with "Pay Period Ending" or an "Employee ID", use that text instead — whatever label QuickBooks repeats once per employee in your setup. Honest limitation: this only works on a paystub PDF with a real, selectable text layer — which is what QuickBooks generates directly. A version that's been printed and rescanned has no extractable text, so text-match splitting can't find the boundaries there (page-count splitting still works if every stub is the same length). PDF SmartSplit uses pdf.js to read the text and pdf-lib to assemble each employee's pages into their own file, both running as JavaScript in this page.
